1. Information we collect
- Account information — name, email address, phone number and password (stored in hashed form).
- Booking details — golf course, play date, holes, number of players, preferred tee times, additional service requests and messages you send us.
- Participant details — participant names in English as shown in the passport; and, where a promotion’s conditions require it, date of birth, gender or nationality.
- Verification documents — a photo of a passport or residence permit, only when you apply a promotion that requires document verification.
- Payment information — payments are processed by OnePay. We receive the payment result and a transaction reference only; full card numbers never reach our servers.
- Support conversations — messages sent through the contact form or live chat.
- Cookies and similar — language preference (bto_lang), display currency, and the session data needed for the booking cart.
2. How we use your information
We use this information to process and confirm booking requests with golf courses, verify promotion eligibility, process payments and prevent fraud, send booking notifications by email, provide customer support, and comply with legal obligations.
3. Who we share it with
- Golf courses — participant names and the booking details needed to secure your reservation; verification information only where the course or promotion requires it.
- OnePay Payment Solutions — payment processing (Vietnam).
- Tawk.to — live chat service.
We do not sell personal information.
4. Verification documents — special handling
Passport and residence permit photos are sensitive. They are stored in private storage outside the public media library, are accessible only through time-limited signed links, and are deleted automatically no later than 30 days after the round is completed.
5. Retention
Order and payment records are kept for as long as accounting and tax law requires. Account data is kept until you ask us to delete your account. Verification documents follow the 30-day rule above.
6. International use
BookTeeOff is operated from Vietnam and your information is processed in Vietnam. If you use the service from another country (for example Korea), your information is transferred to and processed in Vietnam.
7. Your rights
You may request access to, correction of, or deletion of your personal information, and withdraw consent, by contacting us at hoangmy31081989@gmail.com. Legal retention duties may limit the deletion of transaction records.
8. Security
The website is served over HTTPS, access to personal information is restricted to staff who need it, and sensitive documents use private storage with signed links.
